Booking conditions at Sunbird Lodge, Phalaborwa

These conditions are necessary to ensure the well being of our valued guests and the orderly continuance of the Guest House. By making a booking, the terms & conditions herein contained are deemed to have been read and accepted. In whoever’s name the booking is made undertakes liability for any bills incurred by themselves and their fellow guests.

Reservations and payment terms

  • Sunbird Lodge’s booking terms and conditions apply to all reservations.
  • All rates are inclusive of VAT.
  • A reservation made is a provisional booking and becomes confirmed once one of the following occurs:
    • The deposit amount stipulated on the confirmation is paid by the due date also stated or credit card details are received by us to guarantee the room. If payment is not received by the due date the reservation will be cancelled without notice.
    • If a travel agent makes the booking, a voucher must be sent to us by either email or fax.
    • If the booking is for a company account then a verbal conversation or email confirmation constitutes a confirmed booking.
  • Where we issue a proforma invoice, payment must be received before the guest checks in, otherwise the guest will be asked to pay directly upon arrival.
  • All company accounts must be settled within 2 weeks of our invoice being received. Any late payments will result in credit facilities being withdrawn and pre payment being required for any future bookings.
  • Please fax or email any proof of payments to 015 7815559 or info@sunbirdlodge.com and include name and arrival date on the proof.
  • In the event of a no show and where we are holding card details to guarantee the room, Sunbird Lodge reserves the right to debit the card for the total amount of the booked stay.
  • Please check all the details contained on the booking confirmation and notify us of anything that is not correct.
  • If you bring any extra guests with who are not pre booked, then they will be charged the appropriate extra person nightly rate providing we have space to accommodate them.
  • Visitors are only allowed with prior consent of the management. There are to be strictly no visitors after 21h00.

Cancellation policy

All guests are reminded that a confirmed reservation constitutes a binding contract. Sunbird Lodge reserves the right to charge the following cancellation fees should a booking be cancelled within the following period.

  • Any booking cancelled more than 30 days before arrival will be charged at loss of deposit
  • Cancelled 30 days or less before arrival will be charged at 75% of the total booking value.
  • Cancelled within 7 days of arrival will be charged at 100% of the total booking value
  • If check out occurs before the confirmed departure date Sunbird Lodge reserves the right to charge for the full duration of the original booking.

Arrival and departure

  • Check in is between 15h00 and 19h00, if arriving earlier or later than these times please let us know.
  • Early check in will only be possible if the room is available, although every effort will be made to accommodate, we are not able to guarantee.
  • Reception closes at 21h00, check in is still possible with prior notice until 22h00, after that there will be strictly no check Ins allowed. This is for the safety and security of other guests and ourselves.
  • Late check out may be possible, but a late check out fee will apply. Please advise in advance if this will be required

Meals

  • Dinners are available between Monday-Thursday only and must be pre booked by 10h00 that day at the very latest.
  • The earliest we can serve breakfast is 0630 during the week and 0700 at weekends, if you are planning to leave earlier and would like a packed breakfast we can arrange this for you but we must know before your arrival if this is required.

Trailers

  • As we have limited parking space please let us know in advance if you are bringing a trailer, caravan or anything else in addition to your vehicle. We will try and accommodate wherever possible but if there isn’t sufficient space available you may have to leave your trailer etc outside our fence. If this happens, Sunbird Lodge cannot be held responsible should anything untoward happen.
  • If your require a power point to charge a fridge, freezer, golf cart, caravan etc there will be a charge of R100 per power point levied.

Smoking

  • All our rooms are non smoking, as are certain areas in the Guest House. Smoking is allowed outside the rooms on the patio areas and ash trays are provided. Anybody found smoking in their rooms risk prosecution and also a fine of up to R1000.

Mosquito coils

  • The use of coil insect burners is strictly prohibited. Sunbird Lodge reserves the right to charge a full extra nights accommodation rate to anybody found using them.

Items left behind

  • It is your responsibility to take all your belongings with you when you depart. Any items left behind must be claimed within 30 days of departure. In most cases, we are able to post or courier any missing items to you but only once payment for the charges incurred has been received in full by us. We are not able to store any items for future collection.
